Leave management software for the UAE has to do more than count days off: it must carry UAE leave types as defaults, record sick leave in pay tiers, treat public holidays and one-off leave such as Hajj correctly, and keep an approval trail that payroll can trust. Most leave tools are built around one policy and one calendar. The UAE has several leave types with their own rules, and the gaps show up at the worst moment: payroll day, a dispute, or a leaver's final settlement.
This guide describes what to look for when you search for leave management software UAE employers can rely on, written for HR managers and owners who run leave from a spreadsheet or a chat thread today.
Wurxa publishes this guide and is one of the products it discusses. Where Wurxa is described, it is labelled as such. The rest is a checklist you can use with any tool.
A generic leave tool gives every employee a yearly allowance and subtracts days from it. That is fine for a country with one annual allowance and little else.
UAE employers manage a wider set. Checked on 10 October 2026 against the UAE Government Portal, private sector employees have annual leave, sick leave paid in tiers, Hajj leave, maternity and parental leave, bereavement leave and study leave. Each has a different amount, a different rate of pay and a different condition attached.
If the software has one bucket called "leave", someone has to know which rule applies to each request and apply it by hand. That someone is usually the HR manager, at the end of the month, with a payroll deadline in front of them.
Which UAE leave types should be built in?
Ask to see the leave types screen before anything else. These are the types the UAE Government Portal lists for the private sector, with the figures it gives. Checked on 10 October 2026 against the UAE Government Portal page on types of leaves.
Two points about this table. First, the figures are what the government portal states today, and the law is amended from time to time, so a tool that hard-codes numbers you cannot edit will eventually be wrong. You want defaults that you can inspect and change. Second, your contract may give more than the minimum. Software should let you set a more generous entitlement without breaking the rest of the logic.
For the detail behind two of these, see sick leave in the UAE, with examples and UAE annual leave entitlement explained.
Does the software record sick leave in tiers?
This is the quickest test of whether a tool was built for the UAE.
Sick leave is not one number. The first 15 days are paid in full, the next 30 at half pay, and the rest unpaid. An employee who is off for 20 days in one spell has 15 days at one rate and 5 at another. A tool that only subtracts 20 from a balance has lost the information payroll needs.
Check three things:
The second point catches many tools. Sick leave in the UAE counts over the year, whether continuous or intermittent, so three short spells in March, June and September all draw on the same pool.
How should public holidays be handled?
A public holiday is not a leave day, but a leave request often crosses one. The software has to know the holiday calendar and show the employee and the approver what is actually being asked for.
Look for these behaviours:
The UAE calendar is announced year by year and dates can shift, so a calendar you cannot edit is a liability. Our guide to UAE public holidays in 2026 covers how holidays interact with rosters and overtime.
What about Hajj leave and other one-off leave?
Hajj leave is the clearest example of leave that a single-bucket system cannot model. According to the UAE Government Portal, it is unpaid, up to 30 days, and granted only once during employment with the same employer. Checked on 10 October 2026 against the UAE Government Portal page on types of leaves.
The "only once" part is the one to test. Ask the vendor to show what happens when an employee who has already taken Hajj leave files a second request. A good tool shows that the entitlement has been used. A weak one accepts the request and leaves the HR manager to remember.
The same logic applies to other leave that is available once, or tied to an event: parental leave within its six-month window, study leave that depends on length of service, and bereavement leave that varies with the relationship. Each is a rule, and software that stores rules saves the person who would otherwise carry them in their head.
What should the approval workflow look like?
"Online leave approval" is on every vendor's feature list, so ask what it actually does.
A workable approval flow has these parts:
The third point matters more than it looks. An approver who cannot see that three of five people are already off that week will approve, and the problem arrives on the day. Coverage warnings at the point of approval are a better control than a policy document.
The fourth point matters when there is a disagreement. "I was told it was fine" is a hard claim to settle from a chat thread. A recorded decision settles it.
Can employees see their own balance?
If employees cannot see their balance, they ask HR. A leave tool that does not include employee self-service leaves the original workload in place.
Look for a phone view that shows the balance by leave type, pending and approved requests, and history. For a workforce where many people do not sit at a desk, this is the difference between a system people use and one HR maintains on their behalf.
Why do document expiries belong near leave?
Visa, Emirates ID, passport and labour card renewals all take time, and some take an employee out of work for part of a day or more. They are also predictable, because the expiry date is on the document.
When expiry tracking and leave sit in separate systems, the absence is discovered rather than planned. When they sit together, the HR manager can see that a renewal is due in three weeks and plan cover around it, instead of finding out on the morning.
This is the "visa-driven absence" in the brief for this guide: not a leave type in law, but a recurring reason people are away, and one the software can anticipate.
What does a leaver's final settlement need from leave data?
Unused annual leave is something to settle when someone leaves, so the leave record has to be reliable by then. A tool that only shows a current balance is not enough. You need the history behind it: what accrued, what was taken, what was carried, and what was approved by whom.
If your leave records live in one place and payroll in another, check how the numbers move between them. Re-keying is where errors enter. The guide to automating leave management in the UAE walks through the handover points in more detail.
A checklist to take into a vendor conversation
Use the same set of situations with every tool. The aim is to see each one handled without a workaround.
Write the answers down. After three vendors the differences are clear without needing anyone's opinion.
What mistakes do buyers make when choosing leave software?
A few patterns come up again and again, and all of them are avoidable if you know to look.
Judging by the feature list rather than the situations. Almost every product lists "leave types", "approvals" and "balances". The difference is in how it behaves when a request is awkward: a sick spell that crosses two tiers, a holiday that moves after the request was approved, an employee who joined mid-year. Test the awkward case, not the headline feature.
Buying for the company you are today. A company of 20 people with one site can run on almost anything. If you expect a second site, a second entity or a larger team within a year or two, check that the structure can grow without a rebuild, and that approvers can differ by team or site.
Forgetting who approves. In many UAE companies the person who approves is not HR but a line manager who will never log in to a complicated back office. If approving takes more than a tap or two on a phone, requests sit in a queue and people go back to messaging the manager directly.
Treating the legal minimum as the whole policy. Most companies give more than the minimum in some areas, and some have separate rules for senior staff or for people on different contracts. The software should hold your policy, not only the statutory floor.
Ignoring the exit. Ask early how you would get your records out. Leave history is something you may need to show years later, so it should be exportable in a form a person can read.
Where does Wurxa fit?
Wurxa Leave is one way to cover this list. It carries leave requests with an approval workflow, UAE defaults for leave types, coverage warnings so the approver sees clashes, and balances. Employees request and check balances from the self-service app on their phone. Document expiry tracking for visas, Emirates IDs, passports and labour cards, with reminders at 30, 14 and 7 days, sits in the same workspace.
It suits a UAE company with a few people up to a few hundred, including those with several sites or companies in one workspace. It is not the only option, which is why the checklist above is written to be tool-neutral. Run it against Wurxa the same way you would any other. Plans are listed on the Wurxa pricing page, and the Wurxa Leave page shows what the module covers.
How do you start without a big migration?
You do not need to move everything at once. A practical order:
Keep the old spreadsheet read-only for a while as a reference. After a full payroll cycle without needing it, archive it.
If you want to see how this would look for your own company, ask Sara on wurxa.com or message us on chat, and tell us how many people you have and which leave rules matter most to you.
Put the workflow into practice.
Start with every Wurxa feature for 14 days. No credit card required.
