Shift Scheduling Software in the UAE: Rosters That Respect Overtime and Days Off

A roster is only useful if attendance and overtime read from it. Here is what shift scheduling software in the UAE should do with days off, rotations and leave, and how Wurxa does it.

The test for shift scheduling software UAE employers are shortlisting is one thing above all: it makes the roster the single source that attendance, lateness and overtime are measured against. If the schedule lives in a spreadsheet and the punches live somewhere else, every payroll month ends with someone matching them by hand. A roster that ignores days off, leave and the labour law's rest rules is a fine waiting to happen.

This guide is for operations and HR managers who run shifts for a team of five or five hundred, and want to know what to ask of a roster tool before they buy or build one.

A shift calendar answers "who is working when". A roster used properly answers a second question: "what should this person's day have looked like?"

That second question is where the money is. Lateness is only lateness against a start time. Overtime is only overtime against an end time. Without a planned shift for that person on that day, a system can see punches but cannot tell you whether 7:40 in the morning was early, on time or an unplanned extra day.

Most disputes in a shift-based business come from here. The employee says they were rostered off. The manager says they were on. The only record is a chat message from last Tuesday.

What should shift scheduling software in the UAE handle?

Five things separate a roster tool from a drawing of one.

Days off as first-class entries. A day off is a decision someone made, not an empty cell. If an empty cell and a rostered rest day look the same, a person who turns up on their day off is either invisible or wrongly marked absent.

Different hours at different sites. A company with a shop, a warehouse and an office rarely has one set of hours. The roster should respect the hours of the site the person is working at on that day.

Leave on the same grid. Approved leave should appear where the shift would have been. This is also where coverage shows up: if three of the four people on the morning shift have leave approved, the manager should see it while deciding, not on the morning.

Public holidays and Ramadan hours. These change the plan for everyone. The roster should not need to be rebuilt by hand each time. Our guide to public holidays and rosters in 2026 shows the dates to plan around.

A visible record of changes. Swaps, cancellations and corrections should be recorded with a reason, so a later argument has something to point at.

How do you build a rotating shift schedule without breaking days off?

A rotating shift schedule is a pattern repeated over time: a week of mornings, then afternoons, then nights, or a fixed block of days on and days off. The pattern is the easy part. The failures come when people are added to it.

A sequence that works on paper breaks when a new starter joins mid-cycle, when someone swaps, or when a public holiday lands inside a night shift. The practical routine looks like this:

Step five is the one most teams skip. An unrostered day is the commonest reason a monthly report disagrees with the supervisor's memory.

What do the labour law's rest and hours rules mean for a roster?

The UAE labour law sets rules on working hours, rest days and overtime, and those rules can differ by situation and sector. We do not repeat figures here, because a number copied into a template goes out of date quietly.

What matters for scheduling is where the rules apply. A roster is where a rest-day problem is created or avoided, so the roster is the first place to check. Read the current rules on the official UAE government and MOHRE pages, then build them into the pattern you enter. Our guide to UAE working hours and overtime rules explains what attendance software has to calculate once those rules are fixed.

Can you import a weekly roster from Excel?

For most teams the roster already exists in Excel, and typing it again is the reason people give up on a tool. A good import takes the spreadsheet you already have and shows you what it will do before it does it.

In Wurxa the weekly roster import works like this:

You can copy a roster week forward, and cancel a shift with a reason instead of pretending it was a day off. Bulk actions such as copying a week ask you to confirm first, so a stray click does not rewrite a month.

If you are looking for a shift roster template, the point is not the template. It is that the sheet you fill in becomes the live roster, so the file stops being a second copy that drifts.

How does a roster change overtime and lateness?

In Wurxa, attendance figures are worked out against the roster: lateness is measured from the rostered start, and overtime counts from the end of the rostered shift according to the overtime policy you set. The same calculation feeds the monthly report, so the screen and the report agree.

Days with no roster entry are listed for a person to decide on, rather than being silently treated as a day off or an overtime day. If you want to see how a small unnoticed premium adds up, read the overtime you are paying and cannot see.

If you already use ZKTeco terminals, the punches arrive in the same workspace as the roster, so there is nothing to export and match. See Wurxa Attendance for how the pieces fit together, and Wurxa pricing for the plans that include it. Rosters sit in the attendance module, which sits beside HR Core, leave and payroll in one workspace.

What to check before you choose a roster tool

Run the same four cases through anything you are considering:

The tool that handles all four on screen, without a side spreadsheet, is the one worth shortlisting.

If you want to try your own roster, ask Sara on wurxa.com or message us, and tell us how many sites and shift patterns you run. We will tell you what the import will do with your sheet before you commit to anything.

Frequently asked questions

What should shift scheduling software in the UAE do?

It should hold a weekly roster per person and per site, show days off and leave on the same grid, and feed that roster into attendance so lateness and overtime are measured against the shift that was actually planned. A tool that only draws a calendar leaves payroll to reconcile the rest by hand.

Can I import a weekly roster from Excel?

Yes, in Wurxa. You download the weekly template, fill in each person's shift per day, and upload it. The import shows what it will change before it is applied, so a typo is caught on screen rather than on payday.

How does a roster change overtime?

Overtime is hours worked beyond the shift the person was rostered for, so it cannot be worked out without the roster. When the roster is missing for a day, the system has no honest answer, which is why unrostered days should be flagged rather than guessed.

How do I plan a rotating shift schedule?

Decide the pattern first (for example mornings, afternoons and nights in turn), then enter it one week at a time and copy a week forward when the pattern repeats. Check each person's days off before you publish, and check the hours and rest rules on the official UAE government pages rather than a template.

What happens when someone on the roster is on leave?

The leave should show on the roster and the day should not count as a missed shift. When leave and roster sit in the same workspace, a manager sees the coverage gap before approving the request, not after.
